Full Charge Bookkeeper/Program Assistant

Background and General Responsibilities:
Full Time (finance & program responsibilities)/Part Time (finance only). This position performs financial record keeping functions according to Generally Accepted Accounting Principles (GAAP). Assists with budgeting, audit, and financial reporting. Performs administrative HR-related functions such as coordination of employee benefits, maintenance of employee files, and processing payroll. Performs program-related duties such as opening the office promptly at 8:30am, answering the phone, greeting and assisting visiting participants, business associates, and program staff.
This position involves daytime and occasional evening hours. Duties include but are not limited to: manage and monitor agency finances to ensure fiscal responsibility; process all accounts payable and receivables using QuickBooks; reconcile all accounts monthly with bank statements; process payroll and stipends bi-weekly; oversee petty cash accounts; comply with all funding and legal requirements; assist with preparation of annual operating budget, grant budgets, budget projections, annual audit, CFR, and other financial reports; adhere to GAAP financial best practices; participate in orientation and training of staff. Program responsibility to answer phone, offer support to callers, and take messages for agency staff; assist consumers and the general public by providing information about agency services and community resources. Expected to proactively communicate at least weekly with supervisor regarding all aspects of organizational functions including but not limited to financial, staffing, participant, incident, and other review issues; abide by agency Personnel and HIPAA policies; other duties as assigned. Supervised and evaluated by the Executive Director.
Qualifications:
Three years’ experience in bookkeeping or related field; Associate degree required. Possess competent computer skills. Working knowledge of QuickBooks and Microsoft Office programs, performing accounts payable, accounts receivable, and payroll functions. Knowledge of human resource benefits administration. Courteous customer service manner. Good organizational skills. Ability to initiate and prioritize tasks. Criminal background check and fraud exclusion list checks required. Clean and current New York State driver’s license with 4 years’ driving experience and willingness to drive larger vehicle required to use agency vehicle for business purposes.
